Use this report to generate a list of the customer names that were added to or removed from the circulation for each issue served during the audit period. This report provides the details required to back up the section of the Publisher's Statement Report that shows the number of copies served and the number added and removed for each issue. You will need to provide the data on this report to your auditor.
The report includes eleven columns:
Issue date
Paid or non-paid
Classification code
"Add" or "Remove"
Quantity (the number of copies received by this customer).
Service code
Order number
Customer number
Customer name (or title if there is no name)
Company name
Customer zip code
The report is sorted by issue date, paid/non-paid status, classification, whether it is an addition or a removal and service code. Optional sub-totals of the number of paid and non-paid copies added or removed are provided for each issue.
The auditor may request that you send him or her the data in this report in a computer readable format. To do this, run the report then select the 'Print...' command from the Reports menu and locate the report file that you just ran. Look for the name 'Additions and Removals' with the most recent date and time. Select the report by clicking on it, then click the 'Export to Excel' button on the bottom left of the screen. This will produce an Excel spreadsheet which you should send to the auditor.
If you have a large publication, or you have a lot of turnover in your circulation it is possible for the 'Additions and Removals' report to contain more than 65,000 lines, exceeding the maximum length of an Excel spreadsheet. In that case you should run the report separately for each issue in the period, thus producing several smaller lists instead of one large one. Export each of the smaller reports to Excel and send them all to the auditor.
Note: blank customer numbers, names and zip codes
If you run this report for issues that were served by older versions of QuickFill (before version 1.70) you will probably find that many of the customer names and zip codes are blank. The reason for this is that the names that were added or removed for orders other than the current order of each subscription were not stored in the database prior to version 1.70. You will need to refer to the 'Additions and Removals' label files that were created by the older version of QuickFill to obtain a complete list of the additions and removals for those issues.
