The 'Qualified circulation' report is used to investigate "what-if" scenarios. For example, you can find out what would happen if you were to add all or some of the members of a given prospect list to your circulation or what would occur if you dropped some of your existing nonpaid subscribers. You can also use it to get an advance look at what the numbers will be for your audit issue before you actually serve the issue.
The 'Qualified circulation' report produces a facsimile of four sections of the publisher's statement: the Business/Occupational breakdown, the qualification source breakdown, the mailing address breakdown and the geographical breakdown. These sections are known as paragraphs 3a, 3b, 3c, and 4 for business publications or paragraphs 8a, 8b and 7b for ABC magazines.
You may find this report useful to examine the numbers in your publisher's statement before serving an issue. You can see whether you have had a significant change in the number or character of your subscribers since the previous issue.
The filter screen for this report has several tabs. On the first tab, you indicate which sections of the report you want to produce. On the next three tabs you select the subscribers that will be included in the report; on the last three tabs you select the prospects that will be included in the report.
Subscribers only, Prospects only, Subscribers and prospects
Use the radio buttons on the first tab to determine whether the report will include subscribers, prospects, or both.
To see what your current circulation list looks like, check the 'Subscribers only' box and select a status of 'A*' (all active and graced subscribers) on the Subscriber 1 tab.
To see what would happen if you dropped some of your subscribers, check the 'Subscribers only' checkbox and then use the 'Subscriber filter' fields on the next two tabs to exclude the subscribers that you are considering dropping.
To see what would happen if you added members of a prospect list, check the 'Subscribers and prospects' box, and use the 'Prospect filter' fields on the last two tabs to include those prospects that you are considering adding.
To examine the qualification characteristics of all the members of a particular prospect list, check the 'Prospects only' box and select the prospects to be examined on tabs four and five.
Publication
Enter the publication code on which to report. You may enter the publication code, or right click once to select from a list of publication codes.
Business/Occupational Breakdown
Clear this field if you do not want a business/occupational breakdown, otherwise leave this field checked and enter the qualification form question numbers to be used for the report. You may select a single question to be reported on or you may select any pair of questions. Selecting two questions (business and title, say) results in a cross-tab-style report that uses the first question for the row headings and the second question for the column headings. You may enter the question numbers in the 'Row headings' and 'Columns' fields, or right click once to select from a list of the questions on the qualification form.
If you have subscribers with multiple responses to the question(s) selected for the 'Business/Occupational Breakdown', and you create a cross-tab-style report, only the first response entered will be reported. If you select only one question, thus creating a report that does not have a cross-tab-style, all of the subscribers' responses will be counted.
Qualification Source Breakdown
Use this field to indicate whether or not you want a qualification source breakdown. This section shows the number of qualified subscribers broken down by the type of request and the age of the qualification data.
Aging date
The age of the qualification data is determined by the date in the 'Aging date' field. The default for this field is the first day of the current month and year, but you may want to change the date to the first of the month corresponding to the next issue you will serve. For example, if it is now April and you are getting ready to serve the May issue (your audit issue) you should set the aging date to the 1st of May. That way the age of the subscriptions in the qualification source breakdown will match what will appear in the publisher's statement for that issue.
Mailing Address Breakdown
Use this field to indicate whether or not you want a mailing address breakdown. This section shows the number of qualified subscribers broken down by the way they are addressed—by name and title, by name only, by company only, and so forth.
Geographical Breakdown
Use this field to indicate whether or not you want a geographical breakdown (paragraph 4 of the publisher's statement). This section shows the number of qualified subscribers broken down by U.S. state and region as well as by Canadian province.
