Circulation by Issue

Use this part of the report to fill in the "Circulation by Issue - ALL" tab of the worksheet supplied by VAC. The first section lists the number of qualified copies served (both non-paid and paid) for each issue, while the second section lists the number of non-qualified copies served.

The column headings are those specified by VAC. QuickFill's classification codes are assigned to the columns according to the following table:

Average Circulation - Paragraph 1

This section of the report restates the information in the first section ("Circulation by Issue") but shows only the average number of copies served per issue instead of the detailed by-issue breakdown. The numbers in this section of the report should match the numbers on the "Av Info - VIEW ONLY" tab of the VAC worksheet.

 

Additions and Removals by Issue - Paragraph 2

This section lists the exact number of qualified copies served for each issue in the period. It also includes the number of qualified copies added to or removed from the circulation between each issue. The additions and removal numbers are for both paid and non-paid subscriptions. Use this section of the report to fill in the "Additions & Removals - ALL" tab of the VAC worksheet.

 

Business/Occupational Breakout - Paragraph 3a

Use this section to fill out the "Bus Ind Job Classification" section of the VAC worksheet. It breaks out the qualified copies served for the audit issue, based on the answers to the qualification questions in your questionnaire that are found in the galley data file for the audit issue. You choose which questions are reported on the filter screen for the report. You can obtain a report that provides a breakdown by any single question, or you can get a two dimensional cross-tab for any two questions.

If you have subscribers with multiple responses to the question selected, only the first response entered will be counted if you create a cross-tab style report. If you select only one question, thus creating a report that does not have a cross-tab style, all of the subscribers' responses will be counted.

The row labeled "Did not respond" represents subscribers who failed to provide any answer to the question.

The row labeled "Older than 3 years" represents non-paid subscriptions whose qualification data is more than three years old. QuickFill automatically reclassifies qualified non-paid subscriptions as non-qualified when their qualification data becomes more than three years old so this row should be zero. This automatic reclassification occurs in the issue label update. Paid subscriptions are not reclassified by QuickFill, instead they are reported in the next row.

The row labeled "Subscriptions" represents paid subscriptions that are older than 3 years.

 

Qualification Source Breakdown - Paragraph 3b

Use this section to fill out the bottom half of the "Recipient Classification" tab of the VAC worksheet. It breaks down the qualified copies served for the audit issue based on the request type (or source) of the subscriptions. For non-paid subscriptions the columns indicate the age of the qualification data, based on the date when the subscription request was signed, or the date of the directory or list from which the name was obtained. For paid subscriptions the age is based on either the date of the qualification data or the payment date, whichever is more recent. The QuickFill request type codes are assigned to the rows using the following chart:

Mailing Address Breakdown - Paragraph 3c

Use this section to fill out the top half of the "Recipient Classification"tab of the VAC worksheet. It breaks down the qualified copies served for the audit issue based on the type of address used to mail the issue. The categories are "Individual by Name and Title and/or Company", "Individuals by name only", "Title only", "Company name only" and "Bulk distribution". QuickFill determines which category to place a subscription in based by examining the fields of the customer address record. A non-blank name and a non-blank title or company field will cause the subscription to be listed in the first category.

 

Geographical Breakdown - Paragraph 4

Use this section to fill out the "U.S. Geo" tab of the VAC worksheet. It breaks down the qualified copies served for the audit issue based on the state or Canadian province to which the subscription was mailed. If your publication has a very localized circulation you may want a breakdown by county instead, or if your publication has a large international circulation you may want a breakdown by country. Paid Subscription Rates - Paragraph 5

Use this section to fill out the "Subscription Rates" tab of the VAC worksheet. It lists the terms and prices of the subscriptions that were served the audit issue.

 

Assocation, Group and Rotated Sources

Use this section to fill out the "List Sources - ALL" tab of the VAC worksheet.  It lists the sources of all subscriptions with classifications PA, PAN, PM, PMN, NPA, NPM, or NPR that received at least one of the issues in the audit period. For new orders the source code is the tracking code, for paid renewal orders the source code is the renewal effort code and for non-paid requalification orders the source code is the requalification source code.
