Agencies

You use the 'Agencies' definition screen to define any subscription agencies with which you do business. QuickFill prints the agency address on all bills for orders linked to the agency. (Bills never go to the customer if the order is from an agency.) QuickFill addresses renewal notices to either the customer or the agency, depending on the choice you make on the 'Renewal series' definition screen. (Click here for a discussion of renewal series.)

Defining agencies

When you select 'Agencies' under 'Definitions' on the main menu, you'll see one of two screens. If you select 'Agencies' for the first time after installing QuickFill, you'll see a screen with a blank form for defining the subscription agency.

If you've already defined some agencies, you'll see a list of the agencies that you've defined in the upper portion of the screen and the "New," "Change," "Replicate," and "Delete" options running along the bottom.

If you haven't yet defined any agencies, fill in the blank form and click on "OK" to save your changes.

You can define another subscription agency by clicking on "New," filling in the fields described below, and then clicking on "OK." If the agency you want to define next is similar to one you've already defined, you can replicate the existing agency by moving the cursor to the agency you want to replicate and clicking on "Replicate."

Agency code

Use any code you want to identify the agency (although it's useful to make up a mnemonic code). When you enter an order, QuickFill uses the code to identify the agency from which the order came.

Agency name & address

Make sure the address you enter is a complete, deliverable address. QuickFill uses this address on bills and renewal notices instead of the subscriber address. Entering foreign addresses for subscription agencies is the same as for new order entry. The mailing address will appear exactly as it is in the label image on the top right side of the subscription agency screen.

Phone, Fax & Email

Enter a phone number, fax number, and/or email address in the appropriate fields for your information only. QuickFill doesn't use this data.

Discount rate

QuickFill uses the discount rates you enter in these fields to calculate the price of a new order or renewal. If you change the discount rates, QuickFill will apply the new rate to any orders you enter and renewal notices you produce after you make the change. However, it won't apply the new rate retroactively to orders you entered earlier.

 

You can also change the definition of an agency by moving the cursor to the agency you want to change and double clicking on it, or clicking on "Change." You can delete an agency that is not being used by moving the cursor on the code you want to delete and clicking on "Delete."
