The customer directory report produces a printed listing of your customers and prospects with details about their subscriptions. Like 'Promotional labels', the 'Customer directory' report provides the ability to select or de-select bill-to customers.

Included on the report is the customer number, full name, address, telephone number, fax number, and email address of the customer, the publications that they subscribe to, the status of those subscriptions and their expiration dates. Also included is the tracking code and start date of the subscription. For prospects, the status field contains a 'P'.

Like the Promotional Labels Report, the filter for 'Customer directory' has several filter tabs.

The customer directory filter selects customers, not subscriptions. Once QuickFill has determined that a customer meets the filter criteria you entered, it will print the customer's address and all of his subscriptions. Say you request a list of customers with subscriptions to the publication ABC. If John Smith subscribes to both ABC and XYZ, he will be included in the report, and both subscriptions will be listed. This is true regardless of whether you choose "Scan customers" or "Scan subscriptions" on the filter screen.

The filter screen for promotional labels is set up to include seed names by default. The customer directory report does not include seeds unless you specifically request them by checking the appropriate box on the fourth tab of the filter.

The filter screen for this report has several tabs. You can move easily between tabs by using the Ctrl-RightArrow and Ctrl-LeftArrow key combinations or your mouse.

Ignore rest of filter and just report on customer number

If you enter a customer number in this field, QuickFill will produce a report that lists all of the subscriptions linked to that customer, both bill-tos and ship-tos. This is useful when you need a list of all of the subscriptions held by a particular customer.

Maximum number of customers desired

The number you enter here is the maximum number of customers that QuickFill will report—no matter how large your file or which selections you make. Entering a number in this field lets you select an exact number of customers.

Do not use this field alone to select a portion of your customers if you will need to select the rest of them at a later date. You will not be able to do this because when you go back to select those other customers there is no way to distinguish whether or not a customer was selected the first time. Use the 'Random numbers' field either in conjunction with the 'Maximum number of customers desired' field or by itself when you want to select a portion of your customers.

Scan customers, Scan subscriptions

These radio buttons control the strategy that QuickFill will use in selecting your customers.  Regardless of which  you choose the results will always be the same, but the speed of the selection can be significantly different, especially on very large databases.

Choose 'Scan customers' if your database has just a few publications in it, or your selection will include a large percentage of the customers in your file with subscriptions to many different publications.

If you select "Scan subscriptions," QuickFill will examine only the customers who are linked to the publications and/or prospect lists that you have selected. Choose this method if you will be selecting names from only a few publications or prospect lists.  When you scan subscriptions QuickFill examines each subscription during the first pass and writes all of the ship-to customers into a file. In the second pass the file is sorted and de-duplicated.  The de-duplication has to be done because a customer may be linked to more than one subscription and may have been "found" more than once during the first pass. Only unique customers are written to the final report.  It isn't until the end of the second pass that  the actual final customer count is displayed in the progress box.

For each customer list

The customer directory filter selects customers, not subscriptions. Once QuickFill has determined that a customer meets the filter criteria you entered, it normally will print the customer's address and all of his subscriptions and all of the prospect records linked to that customer record. Say you request a list of customers with subscriptions to the publication ABC. If John Smith subscribes to both ABC and XYZ, he will be included in the report, and both subscriptions will be listed.  If you want a report without the complete list of subscriptions and prospects you can use these radio buttons to control what is listed.

All subs and prospects. This is the default setting. QuickFill will print the customer's address and all of his subscriptions and all of the prospect records linked to that customer.

Subs only. Choose this setting and QuickFill will list subscription records only, omitting any prospect records. Note that use of this setting does not affect your ability to select customers based on their prospect records that they are linked to. You can select customers that are linked to prospect list XYZ and that are active subscribers to publication ABC, but the report will only list the subscription.

Only the subs that are included on the pubs and lists tab. Choose this setting when you want a report that focuses on just one or a few publications without listing all of the other publications that a customer may have.

Use these radio buttons to specify the order (zip code, company, or last name) in which you would like your report to be sorted.
