This report tells you how many customers, subscriptions, and copies will expire with each issue and how much income you would earn with each issue if you didn't enter any more renewals or cancellations. This report in combination with the 'Renewal rate' report is helpful when you are trying to decide whether you need to start a new promotion to get new subscribers to replace the ones that are expiring.
You can run the 'Expire inventory' report for just active subscriptions, just inactive subscriptions, or both. You can also get a summary or a detailed report. (You choose which you want on the filter screen.)
Summary, Detailed
The summary report shows the total number of customers, subscriptions, and copies that expire with each issue. It also shows you how many copies of each issue would be served if you ran the 'Issue labels' update today and the income that would be earned by serving each issue.
The detailed report gives you a breakdown of customers, subscriptions, and copies by subscription term (6 issues, 12 issues, 18 issues, etc.) and renewal group (new orders, first renewals, and subsequent renewals) for each expiration date.
Active, Inactive, Both
Use this field to select the type(s) of subscriptions you want to include in your report.
Paid, Unpaid, Both
If you check the paid box, your report will only include paid subscriptions. A subscription is considered paid if accounts receivable for the subscription is less than or equal to zero, the amount paid is greater than any refund that may have been made, and the amount written off (if any) is less than the publication's minimum cancel amount.
If you check the unpaid box, your report will only include unpaid subscriptions.
If you check the both box, your report will include subscriptions regardless of their payment status.
New orders, First renewals, Subsequent renewals, All
If you check the new orders box, your report will include only new orders.
If you check the first renewals box, your report will include only subscriptions that have renewed exactly once.
If you check the subsequent renewals box, your report will include only subscriptions that have renewed more than once.
If you check the all box, your report will include subscriptions regardless of how often they have been renewed.
Internet Extension orders
Select 'Include' if you would like to include QFIE orders, 'Exclude' if you would like to exclude QFIE orders, or 'Only' if you would like to produce a report only with QFIE orders. This field is only active for QFIE customers.
Report issues with no expires
If you check this field, the summary report will show you data for each issue, even if no subscriptions expire with that issue. This is useful because you may wish to know how much income will be earned by serving an issue even though no subscriptions expire with that issue.
If you do not select this field, the summary report will show you data for an issue only if you have subscriptions that expire with that issue. This field has no effect on the detailed version of this report.
Accounting basis
Select 'Accrual' and the summary report will show income earned on an accrued basis. Select 'Cash' and the report will show income earned on a cash basis. Click here for more detailed information on the difference between the cash and accrual accounting systems.
Copies to be served include...
If you check off the 'Complimentary copies' or 'Grace copies' boxes on this line, then the 'Copies to be served' column on the summary report will include copies to be served to complimentary or graced subscriptions. These check boxes have no effect on any other fields in the report.
