The 'Group subscriptions' report shows you details about your group and two-party subscriptions. The report includes the name of the publication, the name, address, and customer number for the bill-to and each ship-to. It also shows you the quantity and shipping method for each ship-to.
You can use this report to produce labels for each group. The first label for each group is the bill-to name and address, and it has four asterisks in the top line. Subsequent labels are the ship-to name and addresses. These labels are useful if you want to send pre-addressed gift cards to the donor for him/her to sign and then mail to the recipients.
You can also run this report for a specific publication and expiration issue (Fall 1997, say). That way, you can send a printout of the report when you send renewal notices to whoever is in charge of the group. That person can then make any necessary changes.
The 'Group subscriptions' report is also useful for creating gift order acknowledgment forms. Typically, each week you run the 'Issue labels' update to serve the first issue of the orders received during the past week. You can then run the 'Group Subscriptions' report selecting gift subscriptions whose first issue was served during the past week, and send the printed lists as confirmations to the donors.
QuickFill will sort the report in one of three ways. One way matches the sort order for renewal notices. This is useful if you intend to include the group report with your renewal notices. Another way matches the sort order for bills. The third sort order is 'By zip.'
Output report, Labels, Both
These fields are for specifying whether you want to print just the report, or just labels, or both the report and labels.
Note: Generating a dBASE formatted file for your group subscriptions labels
Once your group subscriptions labels have been generated, you can either print them from the 'Labels' tab of the 'Print saved reports' screen or you can use the 'Label Splitter' to create a dBASE formatted file. (Click here for more information on the Label Splitter.)
Sort
Your selection in these fields determines the order in which your labels or report will be sorted. If you choose 'Sort for bills', the sort order will match the order in which bills are produced. If you choose 'Sort for renewals', the sort order will match the order in which renewal notices are produced. If you choose 'Sort by zip', the sort order will be by zip code.
Order number
Enter an order number in this field, and QuickFill prints a report for the group subscription with that order number only. Select by order number when you're dealing with a large complicated group and would like complete information on that group for the subscriber.
Publication
Enter a publication code here, and your report will include group subscriptions to that publication only.
Expiration issue
Leave the 'Expiration issue' field blank, and your report will include all group subscriptions regardless of their expiration date. Enter an expiration issue, and your report will include group subscriptions that expire with that issue only.
Note: You can make an entry in this field only if you've entered a publication code in the 'Publication' field. (That's because the expiration issue is meaningful only in terms of a particular publication.)
