Controlled subscriptions transaction (audit system only)

When you enter a controlled subscription, QuickFill displays the customer address, qualification data, and subscription forms.

Customer address and qualification data form

Before you can enter a controlled subscription, you must first enter the customer's address and qualification data on the appropriate forms. If you are entering a controlled subscription for an existing customer and you know their customer number enter it here. QuickFill will fill in the rest of the address fields for you and then you can either leave the address as it is or click on "Change Address" and make any necessary changes to it. If you want to check to see if the customer is in your database (and/or to find the customer's number), click on "Lookup" with the cursor in this field.

When you have completed the customer address and qualification data forms, click on the "Subscription" tab to move to the subscription form.

Subscription form

The subscription form shows the fields you should fill in to complete the subscription (such as the tracking code, service code, starting issue, expire issue, request type, and subscription classification).

Publication

If you entered a publication code on the batch header, it will appear on this screen, too. You can leave it as is or change it to enter a subscription to a different publication by typing the publication code into this field, or right clicking to select from a list of publication codes.

Tracking code

If you didn't enter a tracking code on the batch header, enter one here. You can type in the correct code, or right click to get a list of tracking codes from which to select.

Request type

If you know the three-character code for the request type that you want to use, you can type it here. Otherwise, right click to select from a list of request types. (Click here for a list of request types.)

Classification

If you know the three-character code for the request type that you want to use, you can type it here. Otherwise, right click to select a subscription classification if all or most of the subscriptions are to be classified the same way. The only classifications allowed for controlled subscriptions are "Nonpaid single" or "Nonpaid bulk." All other classifications should be entered using the 'New orders' transaction. (Click here for a list of subscription classifications.)

Channel

You may have linked the tracking code to a specific channel, in which case QuickFill will have filled in the 'Channel' field for you. Alternatively, if you are using channel codes to represent something that varies from order to order (such as a telemarketer), then enter the channel code now. You can type a channel code into this field, or right click to get a list of channel codes from which to select.

Copies

QuickFill prefills this field with a "1." If the customer requested more than one copy, enter the number here. If more than one copy is to be delivered to the same location, then the subscription must be classified as "Nonpaid bulk."

Shipping Class

QuickFill prefills this field with a shipping code based on the shipping classes defined for the customer's country. If you would like to change the entry in this field, you can do so by typing in a different shipping class, or right clicking and selecting from a list of shipping classes.

Service

Enter a service code if applicable or right click to select from a list of defined codes.

Start issue

The starting issue you entered in the batch header appears here. If you didn't specify a starting issue, this field contains the 'New order' issue. (The new order issue is set from the issue definition screen. Click here for details on issue pointers.) If the subscription is to start with some other issue, type the issue number in this field, or right click to select from a list of issues you've defined for the publication.

Expire issue

QuickFill fills in this field for you with the 'Controlled expire' issue. (To set the 'Controlled expire' issue choose 'Issues' under 'Definitions' on the main menu. Click here for details on the 'Controlled expire' issue pointer.) If you want the subscription to expire with some other issue, then type the issue number in this field, or right click to select another issue.

External order ID

This is an optional field. You might use this to store the order number from a subscription agency, thus tying together all of the individual orders in QuickFill that were received as a single order from the agency.

Comment

You may enter a comment in this field if there is any additional information related to the customer or the transaction that you would like to include.

When you finish filling out the form, click on "OK." At this time, QuickFill will search your database for any duplicates. If no duplicates are found, QuickFill returns you to the batch header form and shows you a summary of the transaction you've just entered on a line on the bottom half of the screen. (You'll see the customer name, their company or city and state, and their zip code.) If the batch is balanced it will ask you if you want to post it.
