Use 'Extension' to add extra issues to the term of the current order of a subscription. Usually, you'd extend the order of a customer who complains that he or she didn't receive one or more issues. You can also use this transaction to undo all or part of an extension that you previously entered. When QuickFill calculates the earned and deferred position of an order, it reduces the number of issues served by the number of extension issues.

Don't use 'Extension' to change the term of an order. If you made a mistake when you originally entered the order—for example, you specified a 12-issue term when you should have specified a 24-issue term—use 'Adjust order' to correct the term. Also use 'Adjust order' to change the price of the order. Or, if no issues have been served yet, you could use 'Remove order' to delete the order, then reenter it.

To extend a subscription, you must first use 'Lookup' to locate the subscription. (Click here for details on the lookup procedure.) Once you are on the "Subscription and prospect record" lookup screen, select 'Extension' under 'Transactions' on the main menu.

Number of issues to extend (including prior extensions)

If you've never extended the order, the 'Extension' field contains a zero. Otherwise, it contains the total number of issues by which you previously extended the order. To extend the subscription, add the number of issues by which you want to extend it to the value in the field. To reduce a previous extension, subtract the number of issues you want or change the value back to zero.

 

Click on "OK" after changing the 'Extension' field, and QuickFill will update the sub scription summary and history and display the order list. You'll see your change reflected in the 'Issues remaining' field. Now you can return to the main menu, or click on "Details" to display the order details.

Error messages

n You are extending the subscription by more than the number
of issues served. Are you sure you want to do that?

This warning appears when you enter an extension that tops the number of issues you served. The purpose of the extra issue(s) is to compensate the customer for issues that you sent but the customer didn't receive. So ordinarily you don't want to extend the subscription by more than the number of issues that went astray. Click on "Yes" if you really want to enter the unusually large extension. Or, click on "No" and correct the 'Extension' field.

n That subscription is not active or expired

The subscription you chose is not an active, graced, or expired subscription. Check that you have the correct subscription.

n You must extend the subscription by at least "x" issues

The number you entered in the 'Extension' field will leave the order with a negative number of issues remaining. You get this message only if you previously entered an extension and are now trying to reduce it after you served some or all of the extra issues. Either type a number at least as large as the number you see or click on "Cancel" and check to see that you have the right subscription.
