'Update addresses' provides the ability to manipulate the name and address fields as well as the tax jurisdiction of customers' records. Pending scheduled address changes can be performed, the 'Sex' field can be set based on prefix and first name, the 'Prefix' field can be set based on the 'Sex' field, and/or the 'Tax Jurisdiction' field can be set based on the 'Tax jurisdictions' table. Finally, addresses can be changed to be all upper case or upper-and-lower case.
This update uses a file, QFCONVERT.INI, located in your QuickFill program directory to set the 'Sex' and 'Prefix' fields.
Names may be added to this file by using the Windows Notepad text editor. This file also contains prefixes and the sex codes associated with them. More information on the structure of the QFCONVERT.INI file can be found in the file itself.
Check for scheduled address changes
The Issue Labels, Billing and Renewal updates all check for pending address changes before generating any labels, bills or renewal notices for the customers to whom the items will be mailed. Reports and exports do not check for pending address changes. If you need to send a mailing using the Promotional Labels report or the Customer export and you want to ensure that all pending address changes have been done, then you should run the 'Update Addresses' update and select this option before you run your report or export. That will ensure that all scheduled address changes that are now due will be done before you send your mailing.
Set sex based on name or prefix
Check this field, and QuickFill will set customers' 'Sex' field based on address data. The sex assigned to each customer will be based on the 'Prefix' and/or 'First name' fields. If a customer's prefix is found in QFCONVERT.INI with a sex code of 'M' or 'F', QuickFill will set the sex code accordingly.
If the customer's prefix is found in the [PREFIX] table of QFCONVERT.INI with a sex code of 'B' or 'U', or is not in the table at all, QuickFill will determine the sex code based on the customer's first name. If the customer's first name is in the [MALES] or [FEMALES] table of the QFCONVERT.INI file, QuickFill will assign a sex code of 'M' or 'F' accordingly. If the customer's first name is in both the [MALES] and [FEMALES] table, a sex code of 'U' for "unknown" will be assigned. Finally, if a customer's 'Prefix' and 'First name' fields are blank, the sex code will be set to 'C' for "company only."
Set name prefix based on sex
Check this field, and QuickFill will assign customers a prefix based on the sex field; only customers with a blank 'Prefix' field and a sex code of 'F' or 'M' will be changed. If a name is female, the prefix "Ms." will be assigned. If a name is male, the prefix "Mr." will be assigned.
Check this field, and QuickFill will update customers' tax jurisdictions based on the 'Tax Jurisdictions' table. This update will not change the tax jurisdiction or recalculate sales tax for existing orders. Only orders entered after a customer's tax jurisdiction is updated will be affected. If there is no 'Tax jurisdictions' table defined in your database, no changes will be made when the update is run.
Upper and lower case
These options allow you to specify the case to be used for customers' address data. If you do not wish to change the case of customers' addresses leave the 'Do not change the case of the addresses' field selected.
